03 — What the price covers

What the price covers

Everything below is in the package price. We wrote this list so you can hold it against any other quote you get.

  1. The hall, booked in our name

We hold the date with the hall, sign the contract and hand you the keys. Tables and chairs are set to the seating plan you send us.

  2. Set-up and take-down

We arrive four hours early and stay until the last chair is stacked. You never have to be there for either.

  3. String lights and table décor

Warm fairy lights across the ceiling, runners, tea lights and jars on every table, in your colour if you tell us one.

  4. Sound system and two microphones

Speakers, mixer, cables and a radio mic for speeches. Plug your phone in and it works.

  5. Plates, glasses and cutlery

Real crockery for your full guest count, plus serving dishes and a tea urn. Returned dirty — that's our problem, not yours.

  6. Final clean and waste removal

Floors, kitchen, toilets and every bag of rubbish. The hall gets handed back in the state the caretaker wants it.

  7. Paketfest staff on the night

Two to five of us, depending on the package, on site from the first guest to the last. One named person is yours for the evening.

  8. Council paperwork and GEMA

Noise notification, the music licence and the hall's own forms. We file them; you never see them.

What is not in the price

We would rather say this here than on the invoice.

  • Food and drink. Bring your own caterer or cook yourselves — we will happily name three in Herne who work well in these kitchens.
  • The cake. Nobody has ever wanted us to choose it.
  • Time past your booked hours, at €90 an hour, agreed on the night and invoiced after.
  • A €200 damage deposit, paid with the balance and returned within five working days if nothing is broken.

04 — Add-ons

Add-ons

Tick one and watch the bar at the bottom change. Nothing here is compulsory and nothing gets added without you touching it.

  • A small DJ booth with two speakers at the end of a community hall, warm uplighters on the wall

    DJ for the evening

    +€280

Five hours with one of the three DJs we work with, all of whom carry German, Turkish and Arabic sets and take requests from the floor. Own kit, own lights, arrives an hour before your guests.

  • A decorated henna tray with candles and rose petals, a red veil and a copper ewer set for a kına night

    Kına night décor

    +€240

The décor for a kına gecesi, the henna evening a bride's family holds before the wedding. We set the henna tray with candles and rose petals, lay out the red veil and embroidered cushions, place the copper ewer and dress a low seating area for the bride and her guests. The ceremony itself stays entirely with your family — we set the room and then get out of the way.

  • A children's play corner with a mat, pop-up tent and cushions at a family party

    Kids corner

    +€120

A curtained-off corner with a play mat, a pop-up tent, cushions, crayons and paper, set far enough from the speakers that small children can actually fall asleep in it.

05 — Is your date free?

Is your date free?

Type the date. The answer comes back straight away, and it tells you which of our four halls are still open — filtered by the guest count you set above.

Checked against 249 dated rows in our calendar export.

Nothing is checked until you enter one.

How this check works

Our office exports the booking calendar every night. That export ships with this page as a plain table of dates and halls, so the check runs in your browser: no request goes anywhere, nothing about your party is sent to us until you press send on the form, and the answer is the same one our office sees.

Calendar last exported on Friday, 4 September 2026. 249 dates in it have at least one hall taken; every other date has all four free.

One honest caveat: a hall booked today shows up here tomorrow morning. If a date matters, send it and we will confirm it by phone the same day.

The halls we know

Four halls in Herne. We have worked all of them dozens of times, which is why set-up is quick and the caretakers let us in early.

  • Sodinger Saal — The big one: a high pitched ceiling that takes string lights beautifully, a proper stage end for speeches and a kitchen two caterers can work in at once.

  • We had been quoted three times for my mother's seventieth and every quote grew by the time it was signed. Paketfest sent one number and that number was what I paid. The hall was lit and ready when we walked in at six.
Britta L.70th birthday, Sodinger Saal, 96 guests
  • They set the kına table properly — the tray, the candles, the veil, the cushions — and then they stepped back and let my aunts run the evening the way it should be run. That is exactly right. Nobody was performing anything.
Ayşe D.Kına night, Bürgerhaus Wanne, 140 guests
  • Two of them were there all night. When the coffee machine died at half nine one of them drove home and came back with his own. I did not find out until the next week.

  • The kids corner is the reason we booked. Eleven children under six, all of them asleep on cushions by eleven, and the parents stayed until the end for once.

08 — Questions people ask first

Questions people ask first

Is €690 really the whole price?

For fifty guests, yes — that is the hall, our work, the lights, the sound, the crockery, the clean and the paperwork. The only things that can be added to it are the add-ons you tick yourself, overtime you agree with us on the night at €90 an hour, and the €200 deposit, which comes back. Food and drink are yours to arrange.

Can we bring our own food, or our own caterer?

Yes, and most people do. All four halls have kitchens you are allowed to use, and we will tell you which one suits your menu. If you would rather someone else cooked, ask and we will name three caterers in Herne who know these kitchens — we take no commission from any of them.

The date check says red. What now?

The check offers you the nearest three dates that work for your guest count — one click puts one into the form. If the date itself is fixed, call us: we sometimes hear about a cancellation days before it reaches the calendar, and we know two more halls outside our regular four.

What is the Kına night décor, exactly?

A kına gecesi is the henna evening the bride's family holds before a Turkish wedding. Our add-on is the room, not the ceremony: the henna tray dressed with candles and rose petals, the red veil, embroidered cushions, the copper ewer and a low seating area for the bride and her guests. Who sings, who leads, who brings the henna and how it is done stays with your family, and we do not comment on it.

When do I pay?

€200 to hold the date, the balance plus the €200 deposit fourteen days before the party. Bank transfer or card. The deposit is back in your account within five working days if the hall is undamaged, which it almost always is.

What if more people come than we booked?

Tell us as soon as you know and we move you up a package, paying only the difference. If ten extra turn up unannounced we will find them chairs and say nothing — the package is priced on the hall, not on heads at the door.

Do you work outside Herne?

Rarely. We are quick and cheap because we know four halls extremely well, and we lose both of those the moment we leave the city. Wanne-Eickel and Castrop-Rauxel border cases: ask.

And if we have to cancel?

More than 60 days out, you lose nothing but the €200 booking fee. Between 60 and 14 days, half the package price, because the hall is already ours. Inside 14 days, the full price. Move the date instead if you can — a move costs you nothing once.
